Ngày nay, email được sử dụng khá rộng rãi trong đời sống cũng như trong công việc. Ngoài ra, email bằng tiếng Anh ngày càng quan trọng và bức thiết, từ các bức thư rất đơn giản như cảm ơn, xin lỗi, thư mời.. trong đời sống hàng ngày cho đến thư xin việc rồi thư tín trong giao dịch thương mại. 1. Cấu trúc của một email thông thường

Ví dụ: Viết I am thay vì I’m, hoặc I will not thay vì I won’t. 2.1. Phần mở đầu – BeginningHãy bắt đầu bức thư của bạn bằng việc chào hỏi và xưng hô với người nhận. Dear Mr. A/ Mrs. A/ Miss A Lưu ý 1: Nếu người nhận là phụ nữ thì hãy dùng Mrs cho phụ nữ đã kết hôn và Miss cho phụ nữ chưa lập gia đình. Còn nếu bạn không chắc chắn về vấn đề này, bạn có thể sử dụng cách gọi sau cũng không kém phần trang trọng: Dear Sir/ Dear Madam Lưu ý 2: Nếu người nhận thư là người nước ngoài, bạn hãy gọi họ bằng Last name (Họ). Ví dụ: Bạn gửi email cho một người đàn ông tên là John Doe, hãy viết phần mở đầu là Dear Mr.Doe. Còn nếu người nhận thư là người Việt, bạn có thể gọi họ bằng tên riêng hoặc họ tên đầy đủ. Ví dụ: Dear Mrs. Tran Anh Thu or Dear Mrs. Anh Thu 2.2. Phần nội dung chính – BodyNếu bạn đang viết email trả lời cho ai đó: Ví dụ có khách hàng hỏi về sản phẩm của công ty bạn và bạn đang viết email trả lời, bạn có thể viết: Thanks for contacting Beta Media. Hoặc công ty tuyển dụng mà bạn đã nộp hồ sơ vào gửi lại email để xác nhận một số thông tin của bạn, bạn hãy viết: I am very happy to receive your email. Việc bạn cảm ơn hoặc nói “tôi rất vui khi nhận được email” làm người đọc cảm thấy được trân trọng và được đối xử với một phong cách lịch sự. Nếu bạn là người chủ động viết email: Bạn hãy thay lời cảm ơn bằng việc thông báo lý do viết email của mình cho người đọc biết. Có thể tham khảo một số mẫu câu sau:

4. Những lưu ý khi viết email bằng tiếng AnhGiữ nội dung email ngắn gọnMột email thể hiện sự chuyên nghiệp không nên quá dài. Vì không phải ai cũng có nhiều thời gian để đọc hết một email nhiều chữ và rối rắm. Hơn nữa, đôi khi người nhận cảm thấy nội dung quá nhiều, họ có thể sẽ chỉ đọc lướt. Một lưu ý quan trọng là bạn nên sử dụng câu từ một cách ngắn gọn, rõ ràng. Đồng thời, chú ý các lỗi về chính tả, ngữ pháp cũng như cấu trúc viết email tiếng Anh. Thêm nữa, một email thể hiện sự trang trọng và chuyên nghiệp không nên viết tắt. Tốt nhất bạn nên sử dụng “I am writing to…” thay cho “I’m writing to…”. Dành thời gian để đọc lại và chỉnh sửaTrước khi gửi đi, bạn cần một bước nữa cũng quan trọng không kém, đó là đọc lại và chỉnh sửa những lỗi sai (nếu có). Theo đó, hãy rà soát lại và đảm bảo rằng nội dung thực sự ngắn gọn và dễ hiểu. Hãy chắc chắn rằng bạn viết đúng tên người nhận ở đầu thư. Cũng nên xem xét lại mục đích mà bạn đề cập không quá đột ngột và thể hiện được sự chân thành và thiện ý của mình. Sau khi hoàn tất các bước, kiểm tra lại lần nữa địa chỉ người nhận đã đúng chưa.
